Responsibilities

  • You are part of an IP group within the IP department. You can provide high quality administrative support for the administration of the Gent IP department associated with a major R&D site and working for IP patent counsels.
  • You support the IP administration in the processing of patent applications with formal patent procedures worldwide.
  • You support the counsels in the IP department in preparing contracts, you organize the approval flows and signature processes in line with applicable processes, and you assist in the maintenance of template agreements.
  • You are filing patent applications, and independently process deadlines within the scope of the patent application procedure in our electronic patent database.
  • You file signed contracts in the contracts database, complete the database with relevant contract data, keep the database up-to-date, assist with post-signature contract management and perform accurate database searches.
  • You support the patent counsels by monitoring the different workflows and thereby diligently following up of time bounded patent deadlines, such as upcoming PCT, EP and international deadlines, guided by the patent administrators.
  • You organize and support digital information flows in the IP department (SharePoint, Teams etc.).
  • You provide secretarial support for the IP department (travel support, meeting organization, handling of expense requests etc.).
  • You will consult and closely work together with the IP colleagues from other BASF sites.
  • You embrace continuous learning on the job and via additional training due to changes or innovations in the various patent jurisdictions and the incorporation of digital tools for the further development of the processes.

Qualifications

  • Bachelor’s degree in business or administration or law or digital management.
  • A previous administrative experience in IP or legal administration is a plus.
  • Very good written and oral communication skills in English. Dutch is a plus.
  • You have excellent interpersonal and communication skills, to use in interaction with the local Belgian team and with the central services in the German headquarters.
  • You are experienced in dealing with MS Office programs normally required for an administrative job ( experience with common IP software e.g. Anaqua is a plus) or are eager to learn these programs.
  • You show interest in digital technologies (experience with PowerApps, PowerAutomate, Power BI is a plus).
  • You are very accurate, have a great eye for detail and precision and you are well organized and efficient.
  • You are dynamic, energetic, solution minded and you have a positive team spirit and a sense for responsibility.
  • You are eager to learn and develop.
